Timesheet Interfaces Overview

Overview of the Timesheet Interfaces section. Use these screens to export processed timesheet data from Time & Expense into Costpoint.

Timesheet Interfaces moves processed timesheet data from Time & Expense into Costpoint for downstream labor cost accounting and payroll processing. Use the Export Timesheets application to stage data, configure export options, and write the data to the appropriate Costpoint staging tables. The section supports both labor distribution and payroll workflows.

How to Open

Go to Time & Expense > Timesheet Interfaces to see the available interface applications.

Section Purpose

Timesheet Interfaces bridges Time & Expense and Costpoint. After timesheets are entered, signed, and approved in Time & Expense, the interface moves the data to Costpoint so labor distribution and payroll runs can consume it. The section currently exposes one main application, Export Timesheets, which handles both staging and final export. Subcontractor exports, ADP payroll integration, and Multicompany routing are configured from the same screen.

Two-Step Workflow

The export workflow has two distinct steps that run from the same screen. Process collects the data into staging tables and locks the affected timesheets. Export then writes the staged data into Costpoint. You cannot export timesheets that have not been processed. Treat them as separate steps even though they live on one screen.

Common Tasks

  • Export Timesheets: Send approved or in-process timesheets to Costpoint staging tables for labor or payroll processing.
  • Process Timesheets: Collect timesheet data into staging tables and lock the timesheets while the run is in progress.

Common Use Cases

  • Routine payroll export: Export approved timesheets at end of period to the payroll staging table.
  • Labor distribution export: Send timesheets to the labor staging table for cost accounting in Costpoint.
  • Subcontractor invoicing: Use Subcontractor Export to isolate subcontractor data so the prime contractor can create invoices in Costpoint.
  • ADP payroll: When ADP export is configured, the ADP File Name field appears and the export produces an ADP-compatible payroll file.

Best Practices

  • Run Process before Export. The two are distinct operations.
  • Use unique Batch IDs so failed runs are easy to identify and rerun.
  • Verify the Costpoint Company in Multicompany environments before processing.
  • Save your default selections after the first stable run to speed up future periods.
  • Review rejected timesheets after every run. Rejections do not mark timesheets as processed.
