Archive Audit Information Screen Reference

Field reference for the Archive Audit Information screen. Lists scope check boxes and the retention threshold drop-down used to remove old audit records.

The Archive Audit Information screen configures retention rules for audit records and removes records older than the specified threshold from the Audit Table. Open this screen to scope the archive to floor check, leave request, timesheet correction, or Dela approval audits, and to set the age cutoff in months.

How to Open

Go to Time & Expense > Time Utilities > Archive Audit Information. You access the screen from the Time & Expense domain.

Behavior

When the utility runs, audit records older than the Older Than value are permanently removed for each scope whose check box is selected. Records within the retention window are preserved. The four scope check boxes are independent; clearing one preserves that audit category in full.

Field Behavior Details

The Older Than drop-down accepts values from one to twelve months. The default of twelve months matches the retention window used by most compliance policies, but the value can be lowered when local policy demands a shorter window or raised back to twelve when a tighter setting was used previously. The threshold compares each audit row's time stamp against the current date at run time, so the same selection produces different cutoffs across different days.

The four scope check boxes determine which categories of audit records are subject to the threshold during a given run. If you clear the Archive Floor Check Audit Information box, no floor check rows are removed, regardless of age. The same logic applies to the leave request, timesheet correction, and Dela approval scopes. This per-scope control lets you stagger audit cleanup across categories if your retention requirements differ.

The utility writes nothing back to the audited tables; it only deletes from the Audit Table. Source records such as floor checks, leave requests, timesheet corrections, and Dela approvals continue to exist and remain auditable going forward. The audit history before the retention threshold is what is removed.

Best Practices

  • Confirm your retention policy before each run. Removed records cannot be restored from the Audit Table.
  • Keep all four scope check boxes selected unless a specific scope must be retained.

  • Document each run with the date, threshold, and scopes selected for compliance records.
  • Run during a low-traffic window to minimize contention with active audit writes.
