Export Timesheets Screen Reference

Reference for the Export Timesheets screen. Lists the fields, options, and selection tables used to stage and export timesheet data into Costpoint.

The Export Timesheets screen configures how timesheet data moves from Time & Expense into Costpoint labor or payroll staging tables. Open this screen at the end of a timesheet period or any time you need to stage data for export. The screen groups options into basic fields, export options, print options, and selection tables.

How to Open

Go to Time & Expense > Timesheet Interfaces > Export Timesheets. You access the screen from the Time & Expense domain.

Fields

Basic Fields

Field Description Required
Timesheets Select the timesheet status to export: Approved, In-Process with Signed, or In-Process without Signed Yes
Subcontractor Export Differentiates subcontractor timesheets from regular employees and disables other options when selected No
Reload Defaults Reverts entered values to the previously saved defaults No
Save Defaults Saves the current selection as the default for future runs No
Batch ID Unique export identifier, up to 10 alphanumeric characters. Drives the export filename Yes
ADP File Name Payroll filename for ADP exports. Visible only when ADP export is configured Conditional
Costpoint Company Target Costpoint company. Visible only in Multicompany environments Conditional

Export Options

Field Description
Export Work Schedules Exports company work schedule data. Available only for Costpoint 7.x or greater ASCII Layout
Make Next Period Current Advances the current period to the next on export
Export Directly to Costpoint Imports timesheets into Costpoint at the same time as the export
Field Description
Labor Distribution Available if the selected timesheet classes are configured for labor exports
Include Detail (Labor) Includes the first six UDTs, charge descriptions, dates, and hours per record
Payroll Available if the selected timesheet classes are configured for payroll exports
Include Detail (Payroll) Includes pay types, payroll codes, earnings codes, and hours per employee

Selection Tables

Table Purpose
Timesheet Periods Lists periods with eligible timesheets. Select rows to include in the run
Employee Groups Lists employee group types. Select rows to scope the export
Timesheet Classes Lists timesheet classes. Select rows to scope the export

Auto-Adjust and Timesheet Generation

Field Description
Auto-Adjust Salaried Employees Enables auto-adjust for salaried timesheets. Requires matching Costpoint Configure Labor Settings
Auto-Adjust Hourly Employees Enables auto-adjust for hourly timesheets. Requires matching Costpoint Configure Labor Settings
Override Auto Adjust % Overrides the default auto-adjust percentage from Manage Timesheet Periods
Timesheet Type Default timesheet type when the input file omits it: Bonus, Correcting, Labor Only, or Regular
Roll Up Timesheet Dates Ignores input dates and posts records to a single timesheet date
Roll Up Timesheet Lines Combines lines that share account, project, and organization values

Common Tasks

  • Export Timesheets: Send processed timesheets to Costpoint staging tables.
  • Process Timesheets: Stage timesheet data and lock timesheets before export.

Best Practices

  • Save defaults after your first stable run to speed up subsequent exports.
  • Use unique Batch IDs to keep export files traceable and avoid filename collisions.
  • Verify Costpoint Company and ADP File Name before processing in Multicompany or ADP-enabled setups.
  • Treat in-process exports cautiously. Approved timesheets are the safer source for payroll runs.
