Clear Timesheets

Clear Timesheets permanently deletes selected employee timesheets and the related lines, cells, days, revisions, audit records, and leave records.

Clear Timesheets permanently deletes selected employee timesheets from the database. The utility removes records from the Timesheet, Timesheet Line, Timesheet Cell, Timesheet Day, Timesheet Revision, Timesheet Invoice, Timesheet Audit, Timesheet Start/Stop Times, Employee Leave, and Desktop Tasks tables. Run this utility only when timesheets are confirmed unwanted and have not been exported.

Prerequisites

  • Supervisor or administrator permission on Time Utilities
  • The timesheets are not exported or sent to Costpoint
  • Confirmation that the affected employees do not need their timesheets retained
  • Backup of any data that may need to be reconstructed

How to Open

Go to Time & Expense > Time Utilities > Clear Timesheets.

Steps

  1. Select the Timesheet Period from the grid. The list shows periods that contain at least one timesheet.
  2. Select the employee Group from the drop-down. Only groups you supervise that have timesheets in the period are listed.
  3. Optionally narrow the list with Last Name or ID to find a single employee.
  4. Select the employees in the Employee list. You can select multiple rows.
  5. Click Clear Timesheet to delete the selected timesheets.
  6. Confirm the deletion when the prompt appears. Records are removed from all related tables.

Common Use Cases

  • Test data cleanup: Remove test timesheets after a configuration trial.
  • Termination cleanup: Clear an unsubmitted timesheet for a terminated employee.
  • Mistaken entry: Remove a draft timesheet that was opened in error.
  • Reset for regeneration: Clear timesheets before running Generate Timesheets to start fresh.

Best Practices

  • Confirm timesheets are not exported before clearing them. Exported data is not reversed by this utility.
  • Use the most narrow filter possible. The utility deletes in bulk and cannot be undone.
  • Coordinate with payroll and labor accounting if any cleared timesheets were already used in a report.
  • Pair this utility with Archive Audit Information when removing historical timesheets to also trim related audit records.
